This policy explains how Ronald G Graham Roofing & Building Ltd ("we", "us") collects, uses and protects your personal data when you contact us, request an estimate, or use this website. We are the data controller. We comply with UK GDPR and the Data Protection Act 2018.
What we collect
- Contact & enquiry details — your name, phone number, email, property address or postcode, and the details of your roofing enquiry, when you submit our contact/estimate form, call us, or email us.
- Survey information — where we carry out a roof survey, we record notes, measurements, and photographs or video of your roof and property, so we can prepare an accurate quotation.
- Quote & job records — the quotes, documents and job history relating to work we carry out for you.
- Website usage — basic, privacy-respecting analytics and any cookies described below.
Why we use it (lawful basis)
- To respond to your enquiry and prepare a quotation — on the basis of taking steps at your request prior to entering a contract.
- To carry out and manage the work you engage us for — performance of a contract.
- To meet our legal, tax and insurance obligations — legal obligation.
- To improve our service and, where you have agreed, to follow up on an estimate — legitimate interests or consent.
Who we share it with
We do not sell your data. We share it only with trusted service providers who help us run our business — for example secure hosting and database providers, email and SMS delivery services, and e-signature software used to issue and sign quotations. These providers act on our instructions under appropriate data-protection terms. We may also share data where required by law or with your insurer where you ask us to support a claim.
How long we keep it
We keep enquiry and job records for as long as needed to provide our service and to meet legal, tax and warranty obligations (typically up to the length of any workmanship guarantee plus statutory retention periods). Survey photographs are kept only as long as needed for your quotation and job, and then deleted. Unsuccessful enquiries are deleted within a reasonable period.
How we protect it
Your data is stored on secure, access-controlled systems. Survey photographs and documents are held in private storage and are not publicly accessible.
Your rights
You have the right to access, correct, delete or restrict the use of your personal data, to object to certain processing, and to data portability.
